Scholar Coach Privacy Policy
Last updated: October 16, 2026
Who we are. Scholar Coach, Inc. ("Scholar Coach", "we") runs SAT tutoring and admissions coaching and the Scholar Coach portal at portal.scholarcoachinc.com. Contact: scholarcoachinc@gmail.com.
What we collect
- From parents and guardians: name, email, phone, billing details (card numbers are handled by our payment processor and never stored by us) and communications with us.
- From or about students: name, grade, school, goals, test scores, homework and practice work, session notes, progress reports, college lists and essays, and messages with tutors.
- Automatically: sign-in times, device and browser type, pages used, and an identifier that keeps you signed in.
- AI assistant: what you type or say to the assistant (spoken questions are converted to text) and its answers.
We do not record audio or video of tutoring sessions.
Why we use it. To deliver tutoring, schedule sessions, track progress, bill, send reminders and reports, keep the portal secure and improve it. We do not sell personal information and do not use students' information for advertising or profiling.
Who we share it with. Only service providers who help run the portal, under written terms: hosting and database (Railway), website and network protection (Cloudflare), email delivery (Resend), payment processing (Stripe, when you pay by card) and the AI assistant (Anthropic). We share information with tutors and advisors working with that student. We may disclose information if the law requires it or to protect safety.
Children. Parents or guardians create and control accounts for children under 13, and we collect information from a child under 13 only after verifiable parental consent: we send the parent a notice describing what we collect and ask for permission first. Students 13 and older may use an account set up with a parent's permission. Parents may at any time review, correct or delete their child's information, or stop further collection, by contacting scholarcoachinc@gmail.com. We do not require a child to provide more information than needed to use a feature.
How long we keep it. Active students: while enrolled. After you leave, we delete or anonymize the information, except records we must keep for billing, tax and legal reasons.
Security. We use encrypted connections, access controls by role (parents see only their own family), staff accounts with unique passwords and backups, and we limit access to people who need it. No system is perfectly secure; if there is a breach affecting you, we will tell you promptly.
Your rights. You may access, correct, delete, withdraw consent and opt out of marketing email at any time. New Jersey residents may have additional rights under New Jersey law. We respond to requests within 45 days. Contact scholarcoachinc@gmail.com.
Cookies. We use only the cookies needed to keep you signed in and the portal working.
Changes. We will post changes here and, for material changes, email the parent contact.
Scholar Coach Terms of Service
Last updated: October 16, 2026
- Who may use the portal. Accounts are for enrolled families and staff. A parent or guardian must agree to these terms for any child, and is responsible for the child's use. Students under 13 may use the portal only through an account set up with a parent's or guardian's permission.
- Accounts and security. Keep your password private. Tell us immediately if you think someone else used your account. You are responsible for activity under your account.
- Services. Scholar Coach provides tutoring, coaching and related tools. We do not guarantee test scores, score improvements, college admission or scholarships.
- The AI assistant. It can make mistakes. It is a study and organization aid, not a replacement for a tutor, school counselor or professional advice. Do not enter information you would not want a service provider to process. Important actions require a person's confirmation.
- Scheduling and cancellation. Please cancel or reschedule with reasonable advance notice, as set out in your enrollment agreement or package terms. Late cancellations and no-shows may be charged or use a session credit, as described there. We may cancel a session for illness or emergencies and will offer a make-up.
- Fees and payment. Rates, packages and due dates are on your invoice. Card payments are processed by Stripe; we never see full card numbers. Late invoices may pause scheduling. Refunds are handled as described in your enrollment agreement or package terms.
- Acceptable use. No sharing accounts, no harassment, no uploading material you do not have the right to use, no attempts to access other families' data, no copying our lesson content for resale. Submitted essays and work stay yours; you give us permission to process them to provide the service.
- Our content. Lessons, questions and materials belong to Scholar Coach or its licensors; use them only for the student's own study.
- Privacy. Our Privacy Policy explains how we handle information.
- Ending the relationship. You may stop at any time by giving us written notice; we may suspend or end accounts for non-payment or breach of these terms. When an account ends, your information is handled as described in our Privacy Policy.
- Disclaimers and limits. The portal is provided "as is" to the extent allowed by law. To the extent allowed by law, Scholar Coach is not responsible for indirect or consequential damages arising from use of the portal.
- Disputes. These terms are governed by New Jersey law. Disputes will be heard in the state or federal courts located in New Jersey.
- Changes. We may update these terms and will tell you of material changes.
